How to add your price list or menu so the AI answers prices
Yes, the AI can answer prices from your own price list. A CSV works best for long lists, a PDF works for menus and rate cards, and a Plain text card works for a few items.
Pick the right format
- Up to about 20 items: paste them into a Plain text card titled Price list. Easiest to edit later.
- A longer list in Excel or Google Sheets: save it as CSV and upload it.
- A designed menu or rate card that is already a PDF: upload the PDF, as long as it contains real text and is not a scan.
Upload a price list from Excel or Google Sheets
- Make sure the first row has clear column names, for example Item, Size, Price, Notes.
- Put one product or service on each row.
- Save it as CSV. In Excel: File, Save As, CSV. In Google Sheets: File, Download, Comma separated values.
- Open Train AI, stay on the Knowledge tab and click Files.
- Choose the CSV file and click Save.
- Wait until the file shows Ready, then test it with a question like "How much is a large pizza?"
Each row becomes one excerpt and a file keeps up to 300. If your list has more than 300 rows, split it into two or more files, for example by category.
Tips for accurate answers
- Write prices with the currency, for example Rs 499 or $12, so the AI never has to guess.
- Put the full item name in every row instead of leaving cells blank under a heading.
- Add conditions in a Notes column, such as "plus GST" or "weekends only".
- If you have a menu photo, add it as an Image too, so the AI can send the picture when someone asks to see the menu.
When your prices change
For a Plain text card, just click it, click Edit, change the price and save. The AI uses the new prices right away.
- Update the sheet and save a new CSV.
- In Train AI, delete the old file under Your sources.
- Upload the new file.
Common questions
Will the AI read prices from a photo of my menu?
No. The AI sends images but does not read the text inside them. Add your prices as text, PDF or CSV as well.
Will the AI make up a price that is not on my list?
No. It only answers from what you added. If an item is missing, it saves the question on the Unanswered tab so you can add it.
My PDF shows Failed with No usable text was found in this file.
The PDF is a scan or a picture. Export it again as a text PDF, or save the list as CSV, or paste it into a Plain text card.
