How to add text, files and images to your AI's knowledge

Add plain text

Plain text is best for hours, prices, FAQs and policies. Keep one topic per card so it is easy to update. If you leave the title empty, the start of your text is used as the title.

To change a card, click it under Your sources to expand it, then click Edit or Delete.

1. Open Train AI and stay on the Knowledge tab.
2. Click Plain text.
3. Type a title, for example Opening hours. The title is optional.
4. Type the details in the box below.
5. Click Save.

Upload a file

1. Click Files.
2. Choose your file.
3. Click Save.

• Allowed types: PDF, CSV, Markdown (.md) and text (.txt).
• Maximum size: 5MB per file.
• After upload the file shows Processing… and then Ready with the number of excerpts indexed.
• Each file keeps up to 300 excerpts (about 300,000 characters). Text beyond that is not used.
• In a CSV, each row is read with its column names, so a price list with headers like Product and Price works well.

If a file shows Failed with No usable text was found in this file, it has no readable text. A PDF made only of scanned pictures is a common cause. Copy the text into a Plain text card instead.

Add an image the AI can send

1. Click Image.
2. Type a Title, for example Reception or Menu.
3. Add keywords the AI should match on, for example reception, lobby.
4. Choose the image file.
5. Click Save.

• Allowed types: JPEG, PNG, WebP and GIF. SVG is not accepted.
• Maximum size: 8MB.
• When a customer clearly asks to see something that matches the title or keywords, the AI sends the photo with a short caption.
• Edit changes the title and keywords. To replace the picture, delete it and add a new one.

Delete a source

The AI stops using it right away.

1. Find it under Your sources.
2. Click Delete (open a text card first to see its buttons).
3. Confirm.
