How automation fields and questions work
Each field is one detail the AI collects. Required fields are asked for, in the order you set. Optional fields are only saved when the customer mentions them on their own.
Edit a field
Every row under Fields to collect has:
- Field name: what the detail is called, for example "Preferred date". This is also the column name in My Leads.
- Description (optional): an extra rule for this field, for example "must be a valid email".
- Type: Text or Image.
- Required: tick it if the AI must collect this before the run is complete.
- Remove: deletes the field.
Change the order of questions
The AI asks for required fields in the order shown.
- Open the automation with Edit.
- Hold the handle on the left of a field row.
- Drag the row up or down and drop it.
- Click Save automation.
One question at a time or all in one message
- One question at a time: the AI asks for one missing field per message. This feels more natural on WhatsApp and is the default.
- All in one message: the AI asks for every missing required field in a single message.
When the customer does not answer
The AI asks for each required field at most twice. If it still has no answer, it saves "Not provided" for that field and moves on, so the flow does not get stuck.
If the customer says something like "not decided" or "flexible", the AI saves a short note such as "Flexible / not decided" instead of leaving the field blank. If the customer corrects an earlier answer, the newer answer replaces the old one.
Image fields
The AI asks for an Image field the same way as a Text field. It does not look at photos, so the field is only filled from text the customer types.
Removing a field and saving also deletes the answers already collected for that field in My Leads. Renaming a field keeps its answers.
Common questions
Will the AI ask for optional fields?
No. Optional fields are only saved when the customer volunteers the detail.
What if all my fields are optional?
Then there is nothing the AI must collect, so the run is marked Completed straight away. Make at least one field Required.
Does clicking Create fields again replace my fields?
Yes, it replaces the list on screen with a new one from your sentence. Fields with the same name as before keep their collected answers when you save.
Will the customer see words like field or form?
No. The AI is told never to mention fields, forms or automation. It just asks natural questions in the customer's language.
